What personal data we collect and why we collect it

Note that when visitors use our forms we also record the visitor’s IP address and browser user agent string to help spam detection and in the case of the Member Details Form to verify your acceptance of the stated conditions.

Using a Contact Form we collect your name, email address and your subject and comments in order that we may reply to you and tailor our web site to better meet your requirements and to improve the services we offer to our alumni. Note your name and email address may be checked through an automated spam detection service.

Please note:

1) that we will never use this information submitted for marketing purposes or would we share it with any third party.

2) that if you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue however upon request we will delete your information.

Using a Form ( e.g. Alumni Weekend/ Event booking / Survey ) we will use your email address to identify you and retain with your consent any information supplied by you in relation to the booking (title, name details, your home address, email address, years when you resided in hall, your degree and graduation year) in order that we may contact you again by email regarding events organised by the Churchill Hall Association.

Please note:

1) that we will never use this information for other marketing purposes nor would we share it with any third party with the exception being if we have been instructed by yourself to allow us to put you in contact with a fellow member of hall that you have that you have lost contact with. Note upon request (email to committe@churchillhallassociation.co.uk) we will delete your information.

How do we protect your information?

All our computers are protected by firewalls and reputable anti-virus software to which all patches and updates are applied as soon as possible. External servers are similarly protected and provided by organisations we trust. Our computers and programmes are protected by passwords. Information in hard form is kept in locked drawers or filing cabinets.

Do we use cookies?

Cookies are small routines which enable the location and type of your computer or device, and browsing behaviour, to be identified. The only cookies we use are for Google Analytics, which report to Google how our web pages have been used. This information is available to us only in aggregated form, so that we can never identify a particular user. Responsibility for safeguarding this data rests with Google. You can set preferences in your own browser, for each machine you use.
